Changes, cancellations & disrupted travel
Updated: 25 October 2026
Before you book
Read the cancellation and amendment conditions attached to your quotation. They should explain the deadlines, charges, any refundable amounts and the treatment of services already reserved. Conditions can differ between a trekking arrangement, a domestic flight, a helicopter charter and a hotel booking.
Ask how weather disruption, road closures, illness, a route change or a supplier cancellation would affect your particular itinerary. A general travel article or a link to another operator’s website does not establish the refund terms for your booking.
If your plans change
Contact Everest Encounter with your request or booking reference, the lead traveler’s name, your travel dates and the change you want to discuss. Explain whether you want to move the dates, alter the group, change the route or cancel.
Request written confirmation of the applicable charges, revised arrangements and any refund calculation before treating the change as settled. Sending a message does not automatically amend airline tickets, release rooms or cancel supplier reservations.
If travel is disrupted
Keep flexibility around mountain flights and road connections. Weather and operational decisions may affect the sequence or feasibility of your journey, even in a normally favorable season. Ask about alternatives and their cost before approving them; do not assume that an alternative flight, charter or additional hotel night is included.
Keep receipts, written notices and the final itinerary for any insurance enquiry. Your insurer decides claims under your policy. Cover, eligibility and exclusions should be checked directly with that insurer before travel.
Keep the right documents
Save the quotation, accepted conditions, payment receipts, tickets and written amendments in one place. If a detail is unclear, ask the team using your reference so the answer can be tied to the correct arrangement.
